Scope

What a building reception service covers

Every visitor, courier and prospective tenant meets the reception desk first. Our staff run the desk as part of the building's operations, with each duty agreed in writing before the first shift.

The desk works with building management on faults, deliveries and access, so tenants deal with one point of contact rather than several.

Duties we take on

  • Greeting and directing visitors, and keeping the visitor register
  • Contractor sign in, with induction checks and licence and insurance verification before anyone goes upstairs
  • Access card and key issue, return and register
  • Switchboard and call handling where the building or tenant needs it
  • Parcel and courier receipt and release
  • Meeting room, amenity and shared facility bookings
  • Loading dock and delivery coordination
  • Building faults logged and passed to building management
  • Coordination with building management and security teams
Why it matters

Part of what tenants pay for

In a commercial building, a well run reception sits alongside building services and amenity as part of what tenants expect from their lease. Visitors form a view of the building owner at the desk, as well as of the tenant they came to see.

We staff reception the same way we staff concierge roles. The people we place have real customer service ability and communicate clearly, in person and on the phone.

Connected to the rest of the front desk

The desk connects with our parcel and mailroom management and resident and tenant liaison services, as part of our wider concierge services in Perth.

Reception, concierge and security are different roles. Our concierge overview explains the difference, and buildings that want a desk serving every tenancy should look at corporate concierge services.

Contractor sign in

Four checks before a contractor goes upstairs

Every trade that arrives at reception goes through the same sign in. It confirms the right person is doing approved work, with current cover, on a building they have been inducted to.

  1. Identity

The contractor is who they say they are, from the company that was booked.

  2. Authorised work

The job has been approved by building management or the tenant.

  3. Licence and insurance

Both are current for the work being done that day.

  4. Induction

The contractor has been inducted to this building before going upstairs.

The people

Staff placed for front of house work

We place receptionists with front of house experience, then train them on the duties, tenants and systems of your building before they take the desk.

Building reception sits alongside our concierge services and our building management service. When a fault is reported at reception, it is entered in SiteIQ and assigned to the trade that will fix it.

Priced on hours

Pricing follows the hours covered, not the size of the building.

Shown in the quote

Relief cover

Priced in from the start, so the desk stays staffed during leave.

Reception is delivered under our ISO 9001 quality system, alongside ISO 14001 and ISO 45001 certification. For building services practice in Australia, see the Facility Management Association of Australia.

Questions

Frequently asked questions

What does a building reception service include?

Visitor management, contractor sign in and checks, access cards and keys, call handling where needed, parcels and couriers, meeting room bookings, loading dock coordination and fault logging.

How is building reception different from concierge?

Building reception is a staffed front desk for a commercial building or a large tenancy, answering the phone in the building's name and handling its visitors, couriers and contractors. A concierge covers a wider brief across every tenancy, including resident and tenant requests and amenity bookings. We provide both and set the duties to suit the building.

What hours can reception cover?

Business hours or extended coverage, set to how your building is used. Relief cover for leave and absence is included in the roster.

How is building reception priced?

On the hours covered. The quote shows the roster, award classification, penalty rates, relief cover and what sits inside the rate.

Do your reception staff check contractors?

Yes. Contractors are checked for identity, authorised work, current licence and insurance, and building induction before going upstairs.
