The role

What a building concierge does

A concierge is the staffed front desk of a building. Residents, tenants, visitors, contractors and couriers deal with that person first. The role combines guest service with building operations, and it takes on a large share of the work that would otherwise land on the strata manager, the building manager or the owners.

When something goes wrong at an hour when nobody else is around, the concierge is the person who answers and starts the right process.

On a normal day the desk

  • Greets and directs visitors, and checks contractors in
  • Receives parcels and releases them to the right person
  • Logs service requests and passes them to building management
  • Books common amenities
  • Issues and records keys and access cards
  • Supports move ins and move outs
Getting the scope right

Concierge, reception and security are different roles

The three titles get used as if they were the same job. They carry different training, different costs and a different legal position, so each one should be specified for what it is.

Concierge

A service role for the whole building. Resident and tenant facing, it handles requests, access, parcels, bookings and coordination with building management.

Reception

Front of house for a single organisation or tenancy. The focus is greeting, directing and administrative support for that one business.

Security

Licensed separately in Western Australia, with its own regulatory requirements. It covers protection of people and property, patrols and incident response.

Most premium residential and commercial buildings are best served by a concierge. Where a building carries a higher risk profile, the usual answer is a concierge by day and a licensed security provider overnight, each trained for their own job.

Residential and commercial

Two kinds of building, two sets of pressures

Apartment buildings

Parcels arrive in volume and need a system rather than a corner of the desk. Amenity bookings stay fair when they are managed impartially. Short stay and subletting activity should be visible to the council of owners, and move ins need booking, lift protection and supervision.

Commercial buildings

The desk covers lobby and visitor management, tenant requests, contractor sign in and induction checks, loading dock deliveries, meeting and event support, end of trip facilities and after hours access. See our corporate concierge services in Perth.

Who sits at the desk

We recruit concierges from hospitality rather than security, because the skill that matters most is calmly looking after a frustrated person at ten at night. Each concierge is trained to the duties agreed for the building before their first shift.

  • Uniform and presentation standard set with you

Hours and price

Coverage models and how they are priced

Coverage is the largest driver of cost, so choose it deliberately. These are the four models most buildings use.

Business hours

Staffed across the working day, suited to most commercial buildings.

Extended hours

Cover across the morning and evening peaks, when residents and tenants come and go.

Split cover

Concierge on the desk by day, with our after hours building support on call overnight.

Around the clock

Full 24 hour staffing for buildings that want a person at the desk at all times.

Concierge is priced on the hours covered, not on the size of the building. Our quotes set out the roster, the award classification, penalty rates for evenings, weekends and public holidays, relief cover for leave and absence, and whether uniforms, training, systems and management sit inside the rate.

Buying well

How to specify a concierge service

Specify these points and you get comparable quotes and a desk that matches the building. We suggest every owner or committee writes them down.

  1. Hours, not headcount

State the hours to be covered, including weekends and public holidays, and let the provider build the roster.

  2. Duties in writing

List what the concierge handles and what sits with building management.

  3. Named relief cover

Require relief cover for leave and absence, and confirm it is inside the rate.

  4. Logging and reporting

Ask how requests are logged and reported, so the committee or owner can see the workload at the desk.

  5. Presentation standard

Set the standard for uniform, presentation and communication.

  6. Escalation path

Agree who is called for an after hours incident, and test the path before it is needed.

  7. Insurance and licensing

Confirm the provider's insurances, and whether any duty in the scope needs a security licence.

Part of a wider service

From the desk to a closed work order

Each request the concierge takes is entered in SiteIQ, the platform Cameron Facilities developed and runs, and owners and building managers can follow it through to completion.

Our desks sit alongside building management, common area cleaning and after hours emergency maintenance, so a request goes from the desk to the team that fixes it under one contract.

One contract can cover

  • Concierge and reception
  • Building management
  • Common area cleaning
  • After hours emergency maintenance
  • Parcel and mailroom management

Questions

Frequently asked questions

What does a building concierge do?

The concierge runs the front desk for the whole building. That covers visitors, contractor sign in, parcels, amenity bookings, keys and access cards, move ins and move outs, and service requests logged for building management.

Is a concierge the same as security?

No. A concierge is a service role, while security is a licensed function in Western Australia. Where a building needs both, the usual model is a concierge by day and a licensed security provider overnight.

Can you provide 24 hour concierge cover?

Yes. We staff business hours, extended hours, split cover with after hours support on call, and full 24 hour desks.

How is concierge priced?

On the hours covered. The quote sets out the roster, award classification, penalty rates, relief cover and what sits inside the rate, so you can compare like with like.

Who do you recruit as concierges?

People with guest service backgrounds, chosen for presentation, communication and judgement. They are trained to the duties agreed for your building.
